Who holds the records

Ultimate Primary School is the data controller. The school decides what is recorded about a pupil and why, and the records belong to the school — admission details, class placements, attendance, marks, report cards, fees and payments, and anything a parent sends the school through the portal.

Bjorst Engineering is the data processor. The school's records are kept in a system Bjorst builds and runs on the school's behalf. Bjorst does not decide what is collected, does not use the records for anything of its own, does not sell or share them, and does not use them to train anything.

What is recorded

• Who a person is at this school — name, the school email address the school issues, the class or classes a pupil is in, and which adults are their parents or guardians.
• The school's own records — attendance, marks, report cards, fees and payments, library loans, medical notes kept by the school nurse, transport arrangements, and disciplinary or commendation notes.
• Files that are deliberately sent — documents attached to an application, or work handed in through the app. Nothing is taken from a phone's storage without the person choosing the file.
• What is needed to sign in — the email address and password, and the fact that a device is signed in. Passwords are stored as one-way hashes and cannot be read back by the school or by Bjorst.
• A notification token, if a person turns notifications on in the app — an anonymous identifier for the handset, used only to deliver the school's own messages, and removed when they sign out.

What is not recorded

These are absences rather than promises to behave well — the app does not ask for the permissions that would make them possible.

• No location. The app never asks where a phone is.
• No contacts, photographs, messages, microphone or camera.
• No advertising identifier, and no advertising. There are no advertisements anywhere in the app or the portal, and no third-party advertising or analytics software in either.
• No tracking across other apps or websites.
• No profile a person built for themselves. There is one record and it is the school's; there is no separate personal account sitting beside it.

Deletion, and the honest answer

A pupil or a parent cannot delete the school's records, and this is worth stating plainly rather than burying.

They were never the pupil's to delete. A school is required to keep an attendance register, a mark book and a fee ledger, and a leaver's results have to outlive the phone they were read on — a transcript requested five years from now is the point of keeping them at all. Nothing is collected beside the school's record that could be deleted separately: there is no advertising profile, no browsing history, no location trail.

What does end is access. When a pupil leaves or a member of staff moves on, the school closes the account: the sign-in stops working, the app's notifications stop, and every device is signed out. That is the school's act, at the school's desk, and a request for it goes to the school office rather than to Bjorst.

If you believe something recorded about you or your child is wrong, the school will correct it. Write to the office.

Children

Most of the people this describes are children, and the records about them are held by their school for the purpose of educating them. A pupil's account shows that pupil their own record. A parent's account shows the records of the children the school has recorded them as responsible for, and nobody else's.

Where the records are kept, and for how long

On servers in Europe, run by the school's supplier on the school's behalf, encrypted in transit. Backups are taken daily and kept encrypted. Records are kept for as long as the school needs them and as long as Nigerian record-keeping practice for schools requires — academic records are kept long term, because a former pupil may ask for a transcript years after leaving.

Who else sees them

Nobody outside the school, except the suppliers that make the service work: the hosting and database providers that store the records, the provider that delivers the school's email, and the provider that delivers notifications to phones. Each handles the records only to provide that service. Records are not sold, and are not shared for advertising — there is no advertising.

They may be disclosed where Nigerian law requires it, and where a school must disclose them to another school a pupil is transferring to.

Asking a question

Write to the school office at office@ultimate.example, or call in. The school answers questions about its own records; it is the right first stop for all of them, including a request to see, correct, or stop using something.

The Ultimate Primary app (com.bjorst.gakuin.ultimateprimary) is published by Bjorst Engineering on behalf of Ultimate Primary School. It is the same records as the portal, on a phone, and everything above applies to it unchanged.

Changes

If this page changes in a way that matters, the school will say so through the portal rather than only editing this page quietly. The date at the top is when it was last changed.
